Booking an Event

Your request will be confirmed by the same means, i.e. letter or e-mail within 3 working days. This details everything you need to know about your booking. Please read it carefully and make a diary note of any bookings you have made. Please contact the Events Team if you have booked for an event and have not had a response after 5 working days.

In line with other facilities and services offered by the Club, events are subsidised for all those who attend. A number of years ago the Board agreed that, in order to stimulate the then-new events programme, the first guest of each member would be charged at the member rate. It has now been agreed that this additional discount should no longer apply, and from April 2011 all non-member guests will be charged at the guest rate.

Please note, if there is no child price under the event this is to indicate that the event is unsuitable for anyone under the age of 18. Please note, all guests must be accompanied by a full member.

Cancelling an Event
To ensure that as many members and their guests, are able to enjoy the Club's events programme, please make any necessary cancellations as soon as possible in writing, via email, letter or fax so that the events team can contact other members who have requested to attend. Please note cancellations over the telephone will not be accepted.

We operate a strict 14-day cancellation period prior to the date of the event taking place (with the exception of Derby Day, Ladies Day, Christmas Day and New Year's Eve which all have a one month cancellation period prior to the date of the event taking place).

We will endeavour to resell your places if we have a waiting list, however if the event is not sold out, your membership account will be charged in full. Due to a recent noticeable increase in the number of last minute cancellations, we are forced to impose strict adherence to this policy to ensure the Club does not absorb any losses.

Event timings may sometimes be altered due to circumstances out of our control, and in extreme cases may result in the event being cancelled. The Events Team will always endeavour to inform all members booked onto that event with as much notice as possible.

Dietary Requirements
If you have an allergy to a certain food or beverage or a specific medical condition, please inform the events team at least 3 working days before the event is due to take place. This will be added to our system under your membership number and will appear on all future event bookings at both clubhouses.

Please note an alternative will be prepared that does not include the food or beverage that you have specified. We always endeavour to meet any dietary requirements but please be aware that we cannot always meet a request for a specific food or beverage type as an alternative. If you wish to remove a dietary requirement, please contact the Events Team and we will remove it from our system.

Packaged Events
The Events Team use their events expertise and understanding of the Club in order to produce a variety of events. Events are created as a package and the cost of that event is divided by the number of people expected to attend, which in turn produces a ticket price. The packages are designed to include a number of elements for the members' convenience. These packages cannot be broken down.

The member booking places to an event must take note of the ‘Price includes’ section in Club Life before booking a place. Members must note that elements, such as inclusive drinks or coach journeys of that event may not be deducted from the ticket price if they are not required by the member. In addition to this, elements of the event may not be exchanged for alternatives chosen by the member, with the exception of allergies in which case the term above would apply.
